Illustrated restaurant general manager recording a voice note on a phone during service
Voice note

“Ava took over table 32 during the rush and recovered the complaint without a comp. Put that on her timeline for Friday’s 1:1.”

Docu-Coach™ remembers

AvaRecognition

What happened
Took over table 32 mid-rush and recovered a complaint without a comp
Follow-up
Raise at Friday’s 1:1

This is the day.

Moments a restaurants manager is expected to remember.

  1. A server arrives late, with the doors about to open.
  2. Marcus handles a difficult guest beautifully.
  3. The prep station isn’t stocked for the next push.
  4. You coach Taylor about side work between tickets.
  5. HR asks what happened last Thursday.

What exactly did you document?

Memory, or a record.

“Jordan is 18 minutes late for the second opening shift this week. No call. I told him we’ll review the attendance expectation after lunch.”

What happened
18 minutes late, no call; second late opening this week

The Restaurant Manager Memory System™

The same Docu-Coach™ Manager Memory System, used the way a shift actually runs. It is not a separate product.

  1. Moment
  2. Capture
  3. FACTS
  4. Timeline
  5. Coaching
  6. Follow-up
  1. Opening prep

The floor opens in eighteen minutes and your opener just walked in. You do not have time for the conversation now, but you will need the facts later.

  2. Peak service

Table 32 is unhappy and the section server is buried. Your bartender steps in and turns it around without a comp.

  3. Shift change

The kitchen manager tells you a prep step was missed. You correct it with the cook at the station before dinner prep starts.

  4. Close

The closing server asks about switching Sunday doubles. You say you will look at it, then count the drawer.

  5. Next day

You open the app before pre-shift. Yesterday’s four moments are on four timelines, and two of them need something from you today.

Context that accumulates.

An illustration, not a customer record.

Before

Taylor — “Had some attendance issues recently.”

After

  1. 11 minutes late. No call.
  2. Coaching conversation about the call-ahead expectation.
  3. On time. Recognized on the line.
  4. On time again.

Suggested next step: recognize the improvement during the next 1:1.

The cost of managing from memory

  • Poorly prepared 1:1s after a week of rushes
  • Inconsistent coaching between lunch and dinner leads
  • No clear answer when HR asks about last Thursday
  • The server who saved a table goes unrecognized
  • Attendance patterns stay invisible until they feel sudden
  • Follow-ups promised “after the rush” never get checked
  • High performers get less attention than the latest problem

Made for managers who are moving.

Voice capture during service. Coaching between turns. Attendance, guest recovery, and recognition on the same employee timeline. Daily events turn over fast. The record does not have to.

A restaurant shift has a shape: opening prep, the push, the shift change, close, and the next day. The people moments that matter, such as a late opener, a missed prep step, a table saved at the bar, or a promise made “after the rush,” happen in between tickets, and most of them never get written down.

Docu-Coach™ is the manager app that remembers your people. Say the moment out loud in about ten seconds, and it lands on the right employee’s timeline with the commitment you made. POS records, payment data, food-safety logs, and incident reports stay where they already live.

When pre-shift, a 1:1, or a performance conversation comes around, Prep Me lists only what you saved, in date order, with nothing added.

What belongs in the note, and what already has a home

Docu-Coach™ is the manager’s memory about people. Your POS, food-safety logs, and incident systems already hold the rest.

Built in a restaurant first

Travis has built something very clever and useful. Our GMs use Docu-Coach™ every day now and the name has already become a verb inside our hospitality group. Did you Docu-Coach™ it?

Questions before you start

Can a shift lead use it, or only the GM?

Anyone who manages people can record notes. The Manager plan covers one manager and up to 25 people, and you can add an assistant manager seat for $4.98 a month. Teams covers 10 manager accounts and 250 people for multi-unit groups.

How is this different from the write-up forms on your site?

The forms and guides help you write a formal document. This page is about the habit that comes first: saying what happened during the shift, so the write-up, the 1:1, or the recognition later has dated facts behind it.

Does a late arrival need a full write-up every time?

No. A short note like “18 minutes late, no call, second opening this week” is often enough to see the pattern later. When you decide a formal step is needed, HR Ready and PIP Builder start from those saved notes.

Should I record food-safety misses here?

Record the coaching conversation with the employee, such as what step was missed and what they agreed to do next. The food-safety log itself, temperatures, and any required incident report stay in the systems your restaurant uses for them.

Can I use it in the middle of service?

That is when most managers use it. The note is spoken, runs in any phone browser or the iPhone app, and you can confirm the person after the rush.

Will it make up details about what the employee said?

No. Docu-Coach™ organizes what you said. It does not add quotes, witnesses, motives, or times you did not record.

Stop trying to remember every people moment.

Build the management record your team deserves.

Capture it during the shift. Use it when the conversation matters.
