Questions before you start

Can I mention a guest in an employee note?

Describe the situation, not the guest record. “An oversold arrival at 6 p.m.” is enough context. Leave out guest names, room folios, card numbers, reservation numbers, and ID or passport details. Those belong in your PMS or guest CRM.

How does it help when a problem crosses departments, like a room released before inspection?

Record the note about the employee whose step was missed and what you agreed with them. If you also promised another department head something, say it. Docu-Coach™ saves that promise as a follow-up so the housekeeping and front desk sides of the same miss do not depend on your memory.

Is this a guest-complaint or incident system?

No. Guest complaint records, formal incident reports, and loss or security logs stay in the systems your property uses for them. Docu-Coach™ holds the manager’s side: who was coached, who was recognized, and what you committed to.
