What happened
Quoted the wrong availability on a tour; vacancy list reviewed

This is the day.

Moments a property management manager is expected to remember.

  1. A leasing associate misses a tour follow-up. You coach the standard.
  2. Maintenance closes a repeat request cleanly. You want that recognized.
  3. An attendance conversation with a community associate.
  4. You promise a lead you will revisit a coaching point before Friday.
  5. Your regional manager asks how the new leasing hire is actually doing.

What exactly did you document?

Memory, or a record.

  6. Follow-up
  1. Tour

A leasing consultant quotes the wrong availability on a tour. You catch it right after.

  2. Renewal conversation

An assistant handles a tough renewal conversation calmly and follows the script.

  3. Coaching check-in

Between tours you promised Devon a follow-up on the vacancy process. You need to keep it.

  4. Vendor status promise

Maintenance tells you a Building C work order is stuck waiting on a vendor. You say you will find out.

  5. Work order

A tech closes a work order without noting the part that is on backorder. You coach the close-out step.

  6. Turn and move-in

A turn is behind for a Saturday move-in. A maintenance tech stays late and finishes it.

Context that accumulates.

An illustration, not a customer record.

Before

Maya — “Still learning the follow-up habit.”

After

  1. Missed a tour follow-up. Coaching on the same-day standard.
  2. Completed follow-ups on four tours. Recognized.
  3. Late to the Saturday coverage shift.
  4. Follow-ups current for two weeks.

Suggested next step: use the two clean weeks in the next 1:1, not only the miss.

The cost of managing from memory

  • Promises to the team expire in the inbox
  • Coaching differs by which manager is on site
  • Strong maintenance or leasing work never reaches the review
  • A regional ask turns into a reconstruction
  • Attendance is a feeling, not a set of dates
  • Follow-ups compete with the next tour and lose
  • Resident information leaks into an employee note

Team commitments, separate from the resident file.

Document the employee: the coaching, the recognition, the attendance, the promise you made. Names, ledgers, and work-order history that belong to residents stay in the property system.

A property manager runs two teams at once. Leasing works tours, applications, and renewals. Maintenance works orders, turns, and vendors. The manager in the middle collects coaching moments and promises from both sides, usually between tours.

Docu-Coach™ is the manager app that remembers your people. Say the moment in about ten seconds, and it lands on the team member’s timeline with what was coached and what you committed to. Resident files, applications, screening information, payments, leases, and formal work orders stay in your property-management system.

Before the morning stand-up, a 1:1, or the regional meeting, Prep Me lists only what you saved.

The live demo uses UpTown Hospitality Group. Property teams get the same spoken note, timeline, and follow-up list. It is not a property-management system.

Questions before you start

Can I mention a resident or unit in a note?

Keep it about your employee. “Quoted the wrong availability on a tour” is a complete note. Resident names, applications, screening results, payment details, and lease terms stay in your PMS. Building or unit references for a work order are fine only when they do not identify a resident.

Does this replace our work-order system?

No. Work orders stay in your property-management or maintenance system. Docu-Coach™ holds what you promised the team, such as checking a vendor status by noon, and what you coached.

Can a regional manager use it across several properties?

Each manager account keeps its own people. The Teams plan covers 10 manager accounts and 250 people with central billing and admin controls.

How does it help with fair-housing-sensitive leasing conversations?

Docu-Coach™ does not give legal advice or judge compliance. It saves the coaching conversation you had with a leasing employee, in your words, so you can refer back to it. Follow your company’s fair housing training and policies.

What does it cost?

Manager is $9.98 a month for up to 25 people. Every account starts with a 30-day trial with no card.

Does it write things I did not say?

No. Prep Me and HR Ready only organize your saved notes, and each line points to its source.

The next tour is already on the calendar.
