Voice note

“Tina caught the mislabeled case before it reached the floor. Put that recognition on her timeline for next week’s department 1:1.”

What happened
Caught a mislabeled case before it reached the floor
Follow-up
Next week’s department 1:1

This is the day.

Moments a grocery manager is expected to remember.

  1. The opener in produce missed the wet-rack reset.
  2. A cashier de-escalates a price dispute without a manager call.
  3. You coach a closer about backstock left in the aisle.
  4. An attendance conversation on the front end between rushes.
  5. The store manager asks how the new lead in grocery is actually doing.

What exactly did you document?

Memory, or a record.

Voice note

“Marcus was 22 minutes late for the 6 a.m. grocery shift and the first truck started short. We reviewed the call-in expectation before he went to aisle 4.”

  4. Timeline
  5. Coaching
  6. Follow-up
  1. Front End

Lines are backing up at 7 a.m. because a cashier called out and the coverage plan did not account for it.

  2. Produce

The morning reset is behind because rotation was skipped on two displays. You coach it at the table.

  3. Deli / Bakery

The deli team asks how weekend breaks will work with two people out. You make a promise on the spot.

  4. Grocery / Stocking

The first truck started short because an early-shift stocker was late.

  5. Receiving

A mislabeled case is caught at the back door before it ever reaches a shelf.

Context that accumulates.

An illustration, not a customer record.

Before

Andre — “Inconsistent on opening tasks.”

After

  1. Wet rack not reset at open. Coaching after the walk.
  2. Caught a pricing miss before it hit the floor. Recognized.
  3. Late from break. Call-ahead agreed.
  4. Opening checklist complete three days in a row.

Suggested next step: show the three clean opens in the next department check-in.

The cost of managing from memory

  • Department leads coach differently for the same issue
  • A strong recovery in one aisle never reaches the review
  • Attendance looks fine until you try to remember the dates
  • Follow-ups die when you cross into the next department
  • The closing manager starts from scratch
  • Patterns across the store stay anecdotal
  • High performers get less time than the latest miss

Several departments. One people record.

Capture coaching and recognition without leaving the floor. Handoffs between department leads use what was saved, not what someone remembers from the morning walk.

A grocery store is several operations under one roof: front end, produce, deli and bakery, grocery and stocking, and receiving. Each has its own lead and its own standards, and the store manager hears about people moments from all of them in one walk.

Docu-Coach™ is the manager app that remembers your people. Say the moment in about ten seconds, and it lands on that employee’s timeline with the commitment you made, whichever department they work in. Food-safety logs, temperature records, incident reports, inventory and shrink systems, and payment data stay in the systems assigned to them.

Before the morning store walk, a department huddle, or the manager-on-duty handoff, Prep Me lists only what you saved.

People notes here. Regulated and inventory records where they already live.

Grocery has many systems of record. Docu-Coach™ is not one of them. It holds the manager’s conversations with people.

Questions before you start

Can department managers keep their own notes?

Each manager account keeps its own people. The Teams plan covers 10 manager accounts and 250 people, which fits a store manager plus department heads in one store. The Manager plan covers one manager and up to 25 people.

Where do temperature logs and food-safety checks go?

In the food-safety and temperature systems your store already uses. Docu-Coach™ can hold the coaching conversation with the employee, such as which step was missed and what they agreed to do next.

How does it help with front-end coverage?

Record call-outs and late arrivals as they happen, along with any schedule promise you made. When lines back up again, you can see whether it is a scheduling gap or an attendance pattern.

What about shrink and inventory problems?

Shrink, inventory, and any investigation stay in the systems designated for them. If an employee needs coaching on a receiving or rotation step, record that conversation.

Is this just the retail page with a different name?

No. Retail stores run on one sales floor and a store-day rhythm. Grocery runs as several departments with their own leads, handoffs, and standards, and the manager on duty has to carry all of them. This page is built around that department structure.

Does it write anything I did not say?

No. Every Prep Me and HR Ready line comes from a note you saved, and it points back to that note.

The store will keep moving whether the note exists or not.

Keep every department’s people context without carrying it all shift.

Say it in the aisle. Open it before the next department asks.
